PURPOSE:
This grade is accountable for performing a full range of secretarial support functions.?
Incumbents in this class should gain the knowledge necessary to perform successfully if advanced to the Senior Secretary level.

SUPERVISION RECEIVED:
Performs basic secretarial tasks independently; works under closer supervision on more advanced tasks.

EXAMPLE OF DUTIES:
Incumbents perform a variety of secretarial duties as illustrated in the following areas:
?
1.????? TYPING: ?Using a typewriter, word processor, or other automated equipment formats and types a full range of ?????????correspondence, reports, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.? Proofreads for content.? Edits ?????????using knowledge of grammar, punctuation and spelling.
2.????? FILING:? Designs office filing systems. ?Organizes and maintains files (including confidential files).? Maintains, updates and ?????????reviews manuals and reference materials.
3.????? CORRESPONDENCE:? Composes routine letters/memoranda, etc. (e. g. standard replies and acknowledgement letters) for ?????????direct supervisor?s signature.
4.????? REPORT WRITING:? Compiles information from standard sources and prepares data reports (e.g. number of forms ?????????processed during the month.)
5.????? INTERPERSONAL:? Greets and directs visitors.? Answers phones and takes messages.? Answers questions requiring ?????????knowledge of terminology, organization, supervisor?s responsibilities, etc. (e.g. appropriate referrals, general purpose of the ?????????unit.)?
6.????? PROCESSING:? Scans correspondence; pulls and attaches related materials.? Reviews, routes and prioritizes mail.?
7.????? PERSONAL SECRETARY:? Arranges and coordinates meetings (including space and equipment).? Writes minutes of ?????????meetings, lectures, conferences, etc. from rough draft.? Takes notes using shorthand, speedwriting or machine ?????????transcription.? Prepares expense accounts.? Makes travel arrangements.
8.????? OFFICE MANAGEMENT:? Maintains an inventory of supplies and equipment.? Orders supplies when necessary.? Completes, ?????????processes and maintains paperwork for purchasing (e.g. orders, requisitions, invoices, etc.).? Maintains time and attendance ?????????records and other related duties as required.
9.????? Performs related duties as assigned.
KNOWLEDGE, SKILL AND ABILITY - MINIMUM QUALIFICATIONS REQUIRED:
???????? Possesses basic knowledge of office systems and procedures or willingness to learn and develop increased proficiency in ?????????the same.
???????? Demonstrates basic knowledge of proper grammar, punctuation and spelling in order to complete business communications.
???????? Demonstrates interpersonal skills including, but not limited to, tact and diplomacy and the ability to accurately give and ?????????receive information.
???????? Possesses basic ability to schedule and prioritize office workflow.
???????? Demonstrates ability to operate office equipment which may include word processors, computer terminals, printers, copiers, ?????????telefacsimilie machines or other automated equipment.
???????? Possesses ability to take notes or willingness to learn and develop increased proficiency in the same (i.e., shorthand, ?????????speedwriting, or other method acceptable to the supervisor)
???????? Demonstrates ability to respect and maintain the integrity and confidentiality of sensitive data.
???????? Demonstrates ability to read, write, and follow detailed instructions in English.
???????? Possesses proof of high school diploma or equivalent.

EXPERIENCE AND TRAINING:
???????? One (1) to two (2) year?s experience in office support or secretarial work.
???????? Demonstrates basic MS Word and Excel skills, including the ability to pass a basic level software assessment.
???????? Demonstrates basic MS Powerpoint skills or demonstrates willingness to learn and develop basic skills in the same, ?????????including the ability to pass a basic level software assessment.
???????? Demonstrates willingness to learn and develop basic skills in education-related software programs.
